AI for established companies

How to use AI in my business.
Where to start.

Start with one job: the one that takes the most hours each week and whose result a person can check afterwards. Hundredfold is a small advisory firm for companies of 20 to 200 people. We find that job in a paid audit, then build it with you. If you cannot tell which one it is, the audit takes 14 days at most and costs $2,500–$5,000.

How do I choose the first job?

Pick the job that takes your week, not the one that looks easiest to hand to AI. Then put it through three questions.

  1. Does it take hours every week?

Every week, all year. A job that takes a day a quarter never repays the time spent setting it up.

  2. Does the information already exist somewhere?

An inbox, a spreadsheet, the trade system you already run: any of them will do. A paper binder will not, so it goes on screen first.

  3. How many people touch it?

One person who answers for it is ideal. Every extra person lengthens the build and moves the audit price.

A job that passes all three is a candidate for first. If two candidates pass, take the one with more hours.

How do I find it?

Ask the people who do the work, not a software catalogue. Four questions bring up most first jobs.

  • What happens here every week that everyone dreads?
  • If one person is off for a week, what stops?
  • Where does the same information get typed in twice?
  • Which question do you put to your team that takes them more than a day to answer?

Follow the specific answer and leave the rest. One job that is painful, costly and repeated is enough.

What does a first job look like, with the numbers?

Take a distributor of 45 people across 3 depots, €14M in revenue. Five jobs fill its year. Quotes come first, because they take the most hours. The work happens in the inbox, the spreadsheet and the trade system the firm already runs.

Job Hours a year Share a system could carry Why it sits there
Quotes from the inbox 1,213 70% First: the most hours, and a person approves every draft before it goes out.
Entering accepted orders 620 75% Follows quotes: an order is an accepted quote, so it inherits the quote work.
Supplier price updates 380 65% Waits: a wrong price repeats in every quote, so it comes once quotes run well.
Chasing deliveries 460 60% Waits: it needs the orders in order first.
Invoice and credit queries 290 55% Last: it touches credit and disputes with customers, where a mistake costs most.

An example firm built from firms like yours, for demonstration only. The hours and shares come from the model behind our worked examples. The reasons in the last column are our reading, not a calculation.

The sums for quotes: 40 requests a week at 35 minutes each is 1,213 hours a year, which is €58,224 at €48 an hour. The system carries 70 percent of that, 849 hours. A person keeps 364: the checking, the exceptions and the calls that need judgment. Building it takes 9 weeks, 11 counting the audit.

Across the 5 example companies we publish, the first job is always the one with the most hours. In none of them is it the job a system could carry the largest share of. Hours set the order.

What should I not start with?

Anything that is not yet a job. Four detours come up again and again.

  • A licence for everyone. The OECD found that only 29 percent of small and mid-sized firms using generative AI use it in their core activities. Those that do are more likely to report benefits.
  • A job nobody can check afterwards. In a study of 758 BCG consultants, people using AI were 19 percentage points less likely to be right on a task outside what it handles well. Payroll, and prices that go out unread, are not where anyone starts.
  • Training for everyone before there is a job. Training matters, and it lands better on a live job. The CNIL's first rule for deploying generative AI is to start from a concrete need, and to avoid a system with no precise purpose.
  • A data-cleaning project. A spreadsheet and an inbox are enough to start on. A paper binder is not, so put that on screen first.

Are we late?

No. In 2025, 15 percent of French companies with 10 to 49 people and 31 percent of those with 50 to 249 used at least one AI technology (Eurostat, 2025).

Among European companies that considered AI and did not adopt it, 70.9 percent named a lack of expertise (Eurostat, 2025). In Bpifrance's survey of 1,209 French mid-sized business leaders, 23 percent said they could not identify use cases (Bpifrance Le Lab, June 2025).

Use means at least one AI technology, at any intensity, so a single chatbot subscription counts.

What does it cost to be sure?

Finding out costs $2,500–$5,000. It starts with a free conversation where you sign nothing. The paid work ends in a written plan, by day 14 at the latest: which job first, what building it costs, what it gives back, with the sums shown.

Building is priced from what the audit finds, and you see the number before you decide. In France, Bpifrance pays 40 percent of its Diag Data IA, which is worth asking about. Ours ends in a written plan for one job. Terms change, so read them on Bpifrance's site (read September 2026).

What owners ask

How do I start using AI in my business?

Choose one job: the one that takes the most hours each week and whose result a person can check afterwards. Measure it before anything is built. Once it runs, pick the next one from the same list.

What are the steps to bring AI into a company?

Three. Pick the job that takes your week. Measure its hours and what a mistake costs. Build it with a person approving the output. The audit covers the first two and ends in a written plan for the third.

How long does it take to bring AI into a business?

Finding the first job takes 14 days at most with an audit. In the distribution example the build took 9 weeks, 11 counting the audit. The audit sets the real length, so read the example as an illustration.

Should we train our staff first?

Train the two or three people who will run the first job, on that job. Training the whole company is a real step, and it lands better once there is something live to practise on. We do not sell it.

Can I use ChatGPT for my business?

Yes, for a first look. It starts to pay when it works on a real job, with your documents and a person checking. Write down what may and may not be pasted into it: the CNIL advises listing permitted and forbidden uses.

How much does it cost to find out where to start?

$2,500–$5,000. The first conversation is free, and you pay nothing if we find nothing to improve.

Two weeks. A plan you can defend.

From $2.5K, fixed scope, half of it off the build if you go ahead within 30 days, and the first call is free. You'll know what to build, in what order, and what it gives back, before you commit to building it.

Tell us the one process that costs you most. One of us reads every application and answers it with a name.

We invoice in US dollars from Sena Technologies, Inc.; the French page shows the same amounts in euros.

We reply within two business days, always with a name. No sequence, no chasing.
