Chapter 03

Implementation process: The first build, followed by the audited roadmap.

Costing stays with the estimator. The system pre-populates a sourced draft with comparable jobs and current inputs; production engineering and estimating validate the technical basis before commercial pricing.

Illustrative

A composite company, not a client. We model the inputs and the queue examples, then derive every total from the assumptions shown. A real audit measures each workflow in your operation.

The first build and what comes after it

P1 · first build

RFQ intake and quote drafting

The system reads the enquiry and matches it against comparable past jobs. It fills your costing sheet with current inputs and source links. Estimating validates the technical basis.

P2 · audited roadmap

Specification lookup

Tolerance and material requirements shown with the drawing or specification revision cited; required approvals and certificates shown from the controlled Quality library.

P3 · audited roadmap

Supplier quote chasing

Requests sent, reminders automated and replies compared on scope, delivery, validity, exclusions and substitutions as well as price. Non-responses stay visible.

Order confirmation and planning handoff

All five processes, not the one traced below. This is a capacity equivalent, not cash saved or revenue forecast. It excludes implementation cost, operating cost, review time and adoption. The audit is where these become your numbers instead of ours.

One process, end to end

RFQ intake and quote drafting

The first one, step by step, including the place a person stays in the loop and what happens to their correction afterwards.

  1. 01

Reads the enquiry and the drawings with it

The request, the attached specification, and whatever revision came with it.

    System prepares
  2. 02

Finds the jobs most like this one

Up to twelve years of permissioned past jobs, deduplicated and checked for revision and retention. The search runs on what makes two jobs comparable in engineering terms.

    System prepares
  3. 03

    Prepares a sourced draft costing

The system puts candidate material, routing, process time and finishing inputs on your sheet with source and date. Estimating or production engineering validates the basis.

    System prepares
  4. 04

The estimator approves and prices it

Once the technical basis holds, a person takes the commercial call. Margin, risk, lead-time commitment and whether this customer is worth winning.

    Your team approves
  5. 05

Returns the RFQ response in your format

Drafted against the customer's template, with controlled Quality documents attached and held for authorised release.

    System prepares

We log every edit. A named process owner approves a repeatable rule before we version it and reuse it. One-off exceptions stay one-off. We test every change before release.

Of that, this one process accounts for 842 hours a year
